Tips for a perfectly planned event
Is the venue
finalized yet? Do we have a back-up ?We do not have enough budgets? He was the
best speaker we had and his flight is cancelled? How do I reach the right
audience ?All these situations are guaranteed to cause a mini heart attack to
the brand managerwhose event is at stake. The first priority isto avoid any
such situation; Be it a Product Launch, Annual conference or a Seminar, here
are few handy tips that would back you to have first hand control on your event.
Plan:
A project plan would
starts by choosing the event type, location, time that best suits the target
audience, followed by preparing an event timeline outlining the timeframe of
each activity. While planning an event a checklist plays a crucial role for a seamless
event execution.
Budget:
This is important as
it will help you decide and finalize the venue and the number of audience you
can cater to. You need to make sure that the budget you set is as comprehensive
as it can be since you don’t want to be standing in the middle of nowhere if
one of your cost cutting methods does not work out. In case you are looking at a revenue model on
the basis of sponsorship or selling tickets to the event, you need to plan that
too.
Target your
objectives:
You have to be sure
what are you planning to achieve through the event and accordingly you need to
target your objectives. It is very important to know the nature of your target
audience to ensure we have right mix of activities to create a long lasting
impact in their minds through a memorable experience.
Venue:
After you are done
setting out your budget and analyzing your target audience, your next big step
is to decide a venue on the basis of both these things. Your venue should go
with the reputation of your brand, should be convenient for your audiences in
terms of banqueting facilities, distance, food, parking, services etc and the
most important part, it should fit your budget.
Marketing:
You can go perfectly
right with every single detail, but when it comes to marketing your event
perfectly, even for big and bigger all can go wrong at this stage. You can have
the best of the venue, best of the speakers and far better budget than anyone,
but if your marketing strategy is not good enough, no one will know of your
event, the worst case scenario, your target audience will not know of your
event.
